Guide - Setup Office 365 backup from the web portal

Use these steps to set up a Microsoft 365 (Office 365) backup for a client from the Magnus Box Web Portal. The backup runs on one of the client's devices: it downloads the data from Microsoft, then encrypts and uploads it. Pick a device that's always on, such as a server, with the Magnus Box Application installed and signed in.

Before you start

  • A Global Admin account for the client's Microsoft 365 tenant. You sign in with it once to approve access.
  • The client's user account in the Web Portal, with the device that will run the backup showing as online.

Steps

  1. In the Web Portal, go to Management Console > Users and click the client's user.
  2. Select the Protected Items tab and click Add protected item....
  3. On the General tab, type a clear name, select Microsoft Office 365 as the Type: and click Next >.
  4. Click the Azure Active Directory button and sign in with the client's Global Admin account. Review the permissions and accept them. (Microsoft has renamed Azure Active Directory to Microsoft Entra ID, but the button still uses the old name.)
  5. Click Test Connection to confirm the credentials work.
  6. Choose what to back up. Back up everything protects the whole Microsoft 365 domain, including accounts added later. Select specific items lets you pick individual users, sites or groups. Mailboxes and sites are selected separately: use the drop-down arrow next to the plus button to switch between them.
  7. Add a schedule (daily is recommended) and set the retention, then click Save. The Protected Item appears on the Protected Items tab.
  8. To start the first backup now, click Run Backup... on the new item's row. The first backup downloads everything from Microsoft, so it can take a while for a large tenant.
